Executive search vs recruitment: what is the difference?

Companies often use the words recruitment and executive search as if they mean the same thing. They do not. Both help a company hire, but they reach different candidates, work in different ways and suit different roles. Choosing the wrong model for a senior hire is one of the most common reasons leadership searches drag on or fail. This guide explains the difference and when to use each.

What is recruitment?

Recruitment, in the sense most agencies use it, means filling roles from people who are already looking for a job. A recruitment agency or placement consultancy advertises the role, searches job boards and its own database, screens the applicants and sends CVs to the client. Agencies usually work on many roles at once, often for several clients competing for the same vacancy, and are paid when a candidate joins.

This model works well for volume hiring and for junior and mid level roles, where many suitable candidates are active in the market and speed matters more than depth.

What is executive search?

Executive search is a focused, research led way of hiring senior leaders. Instead of waiting for applicants, an executive search firm maps the market, identifies the leaders who are succeeding in comparable roles today, and approaches them in confidence. Most of these people are not looking for a move. The firm then assesses them in depth, validates them through references and presents a short list of candidates who fit the brief.

Executive search firms work on a small number of mandates at a time, usually on an exclusive basis, and are engaged for the whole search rather than paid only for a CV.

Executive recruiters are also called headhunters

Executive recruiters are also called headhunters, executive search consultants or search partners. The word headhunter comes from the way they work: they go out and find a specific leader rather than waiting for applications. At Dedicated HR Services we describe ourselves as a leadership hiring partner, because the work goes beyond finding a name. It includes calibrating the brief, assessing the candidate and staying close until the leader settles in.

Key differences between recruitment and executive search

The roles they fill

Recruitment agencies fill a wide range of roles at every level. Executive search firms focus on CXO, Business Head and Functional Head roles, plus niche specialist positions where the pool is small.

The candidates they reach

Agencies mostly reach active job seekers. Executive search reaches passive candidates: sitting leaders who are performing well where they are and will only consider a move for the right role.

How candidates are assessed

An agency screens CVs against a job description. An executive search firm runs structured assessment against a calibrated brief, checks the record behind the CV and takes deep references before a profile reaches the client.

Confidentiality

Senior hires are often sensitive: a replacement, a new market entry or a succession plan. Executive search protects the client's name and approaches candidates discreetly, which job board advertising cannot do.

How many candidates you see

A recruitment agency may send many CVs. An executive search firm presents a short list of assessed, interested and validated leaders, so the client spends time only on people who fit.

When to use which

  • Use a recruitment agency for volume hiring, junior and mid level roles, and roles with a large pool of active candidates.
  • Use executive search for CXO, Business Head, Functional Head and Country Head roles, for confidential replacements, and for niche roles where the right people are not on job boards.
  • Use executive search when a wrong hire would cost the business far more than the cost of the search itself.

How to choose an executive search firm in India

Before you appoint a firm, ask:

  • Who will actually run the search: a partner or a junior researcher?
  • How many mandates is the firm running at once?
  • How will they assess candidates, and what will you see before an interview?
  • How will they protect your confidentiality in the market?
  • What is their record in your industry and at your level of role?

How DHRS runs an executive search

Every search at Dedicated HR Services is partner led. We calibrate the brief with the founder, CEO or board, map the market of sitting leaders, approach them in discretion, and assess, evaluate and validate each one for the Right Fitment before a profile reaches you. We never push a client to shortlist; the calibre sits with the candidate, and the profile speaks for itself. A typical leadership search runs 2 to 3 weeks (passive job seekers) from brief to offer. Brief a partner to discuss a leadership mandate.

Frequently asked questions

Is executive search the same as headhunting?

Yes, in everyday use. Executive recruiters are also called headhunters because they find and approach specific leaders rather than waiting for applications. Executive search adds structured assessment and referencing to that approach.

What is the difference between executive search and recruitment?

Recruitment fills roles from active job seekers, usually at junior and mid levels. Executive search reaches passive senior leaders through market mapping and confidential outreach, and assesses them in depth before presenting a short list.

When should a company use an executive search firm?

For CXO, Business Head, Functional Head and Country Head roles, for confidential replacements, and for niche roles where the right candidates are not looking for a job.

How long does an executive search take in India?

With a clear brief and a responsive interview process, a leadership search with DHRS typically runs 2 to 3 weeks (passive job seekers) from brief to offer, before the candidate's notice period.
